Privacy policy

This policy explains how Orjelumi Ltd (“we”, “us”) handles personal information when you use Gary, our invoice follow-up service available at gogary.co.nz. We follow the New Zealand Privacy Act 2020.

Information we collect

We collect:

  • Account details — your name and email, taken from the Google or Microsoft account you sign in with.
  • Business data — invoices, contact details, and payment information synced from your Xero account so Gary can follow up overdue bills.
  • Call data — recordings, transcripts, and outcomes of calls Gary makes on your behalf.
  • Usage data — basic logs needed to run the service securely.

How we use it

We use this information to run Gary: to find overdue invoices, place follow-up calls, send follow-up messages, and show you how your collections are tracking. We do not sell your data or use it for advertising.

Service improvement

We also use call data — recordings, transcripts, and outcomes — to improve how Gary works, for example to make calls more effective. Where we analyse data across businesses, we first remove names, contact details, and anything else that identifies a business or a person. We never show one business’s data to another, and we never publish or share identifiable call data.

Call recording

Gary records the calls it makes and says so at the start of every call. Recordings and transcripts are stored so you can review what was said.

Sharing and service providers

We share data only with the providers that make the service work, including Xero and Microsoft Outlook (through Composio) for accounting and messaging, ElevenLabs and Twilio for voice calls, and OpenRouter for drafting call scripts. Each handles your data under its own agreement. We may also disclose information where the law requires it.

Storage and security

Your data is held with our hosting and database providers and protected with access controls. We keep each business’s data separate and never show one business’s data to another.

We keep call recordings for 12 months and transcripts for 24 months, then delete them. Billing and audit records are kept for 7 years to meet business-record rules. Do-not-call entries are kept so an opt-out is never lost. Everything else is kept while your account is active, then deleted on request.

If our business changes hands

If we sell, merge, or reorganise our business, your information may transfer to the new owner so the service can keep running. The new owner must handle it under this policy. We will tell you about any change of ownership, and about any later change to this policy that affects your rights.

Your rights

You can ask to see, correct, or delete the personal information we hold about you. Email support@gogary.co.nz and we will respond within a reasonable time.
